750 1 Fine-tune display of footers for Base API table in the Profile report   For the last few years, the Base API table in the Profile report has been able to display the "flag" number for those schools that do not have a Base score. Plus, in the most current year we added a footer that indicates what the statewide rank is and what "B" means for this field.

Now we have a problem, or at least something that looks very odd, when the report displays the "flag" text for a school but also still displays the "statewide rank" footer even though there is no statewide rank data.

(The data in the tables is fine, this is just a "footer" display problem. Bob has fixed this so the ToDo will just help us track when the fix is put live.)

85 1 Update existing trend reports (data and navigation), plus add reports for school level   Research and suggest new trend reports for the district and school levels. The district level already has about four trend reports but new ones for financial data and English Learner data might be good. The school level does not have trend reports but since we now have three, soon to be four, years of data, trend reports can be added. Dee 10/31/02

During further discussion on this we decided to revamp the trend reports while working on the 2001-02 data. The old reports are very hard to maintain and it might be better to start new. Dee 3/7/03

Something else to take care of is we need to add "ALSO SEE" links in the profile tables to the trend reports. Dee 3/10/03

Here are comments transferred from another ToDo that was closed out because it will be taken care of here: The county and district trend reports can now be selected from the navigation drop-down lists but users still have to go though a number of links to see all the trend reports. It would be good to give users access to all of the applicable trend reports (district or county) from one page.

Here are some suggestions Bob made in a previous e-mail:

Keep each table on a separate page (paints faster) but include an identical Table of Contents at the top of all reports in the group (like STAR). Rather than make the County and District level trend reports like the state level, make the state level like the other two, adding the TOC for easy navigation within the group.		 Cancelled

Decide how to display HSEE data, to be added to the new High School Performance report. Note: DueDate is totally arbitrary!

This new report is split into two ToDo items. The first is for the design and data collection processes, which are CDE and EdSources' responsibility. This second ToDo is to track the need for ACOE to program the report.

(We talked about this at the 4/8/02 meeting and decided to do the graduate/dropout/UC-CSU part of the High School Performance report first, then add the HSEE data when the 2002 results are released - approx. 8/02? Dee)

800 1 Compare Schools spreadsheet function can error-out  2/3/2005 On Compare Schools results tab, the X button used for getting a spreadsheet will error out if no "close-to" selection is made, or when the School Name column heading is clicked on.

The problem results in a SQL query error; that the same column name had been specified twice in the order-by clause of the query.

This happens because School Name is ALWAYS being added as a secondary sort column. The problem arises when no close-to value is specified, since then School Name is also the primary sort key.

The fix was to conditionalize the addition of School Name as a secondary sort key.

The change was made in

113 1.00 Expand common admin. message in Financial Charts   In testing the live site I found something that I missed during development. The new Financial Charts report has part of the message needed for common administrations, but part is missing. For instance, the message for the elementary or high district correctly comes up with the message that it is part of a common administration district, but it also needs the second line:

"Please see the report for xxxxxxxxxx" where x is a link to the common administration district.

You can see an example of the correct message by looking at the District Financial Statement report.

This is not critical to fix in that the user does not get an error messsage, but it would be good to get it done and out of the way.

56 1.00 Display problem with a few 1998-99 school profiles   During testing of the comparison reports Sue at EdSource found a number of School Profile reports for 1998-99 that had a display problem (i.e., VBScript errors or no data comes up even though the comparison had a few pieces of data). The problem appears to only be for schools that have a limited amount of data. Examples include Antelope Community Day (Tehama) and Deep Creek Academy (Tulare).

The problem has existed for awhile so there is no hurry to get it fixed. If the problem ends up being a difficult one, we might want to leave things as is, or wait and work on it for the December release of the profiles.

64 1.00 List of Schools report driven by wrong year?   I was working with the "List of Schools" report on the district level and found that I was getting results different than I expected. I think it was because the "District" drop-down was being driven by the fiscal year of the report I was on previously rather than the year shown in the title of the List of School report (i.e., the most current fiscal year).

You can test this by looking at an older district profile report, then switch to List of Schools for Madera. It should include Chawanakee Joint Unified but it has Chawanakee Jt. Elementary instead.

I checked the county level "List of Districts" report to see if it had the same problem but it looks like it is working correctly.

46 1.00 Navigation broken for unified district  2/25/2002 A user reported a problem getting to the profile reports for schools in Porterville Unified in Tulare county (Porterville was a new unified district in 98/99). I tried it myself, looking for Bartlett Intermediate and Belleview Elementary, and saw that it defaults back to an incorrect district rather than giving me the correct drop down school list. I tried getting to the school profiles using find and, while it brings up the schools in the Find list, when I click on the School Profile link it again goes to the wrong district.

I tried Dinuba Unified in Tulare, which also was newly unified in 98/99, and it would bring up the school reports but then it wouldn't let me switch to another county (it kept coming back to Dinbua in Tulare even though I was trying to get to Stanislaus county).

Please fix this as soon as you can. I tested one of the new unified districts for 99/00 - Caruthers in Freno county - and it seems ok. Maybe just the 98/99 districts are messed up. There were eight (Butte - Gridley; Humboldt - Eureka; Stanislaus - Hughson, Oakdale, Riverbank, and Waterford; Tulare - Dinuba, Porterville) so if you need to talk through this before working on it, just give me a call.

(This is definitely one of the things we should all talk about as the new profiles are done. I'm all for doing away with the messages about "this and that became a new unified" so that we can just bring up what is valid for each year. I think it will save us a lot of time and frustration!)

It was decided in the 6/25/04 conference call to develop a new tab in the Accountability report to hold the graduate and dropout data. (To go along with this, the "Tests" tab will be deleted and instead a paragraph of introductory text will show above the tabs that explains about STAR, CAHSEE, etc.) The graduate and dropout data will be compiled for all levels and will be for 1998-99 to 2002-03. The format of the data will mirror that in the older profiles and will include Graduates by Ethnicity, Graduates Eligible for UC/CSU by Ethnicity, and Dropouts by Ethnicity (both 1-year and 4-year rates).

An issue that needs to be resolved, and that we didn't realize during the conference call, is that the county level does not have an Accountability report. Because of this do we not show the graduate and dropout stats at the county level? Or, should we add an Accountability report to the county level that has data on only one tab?

58 2.09 Update links to CDE website?  4/26/2004 The CDE has plans to re-do its web site and many, many pages, if not all, will have new addresses. The move is planned for the beginning of October. Although it seems highly unlikely that they will make this October 1st deadline, we need to plan for changes in the CDE URL addresses we have throughout the Ed-Data web site.

Is there a way for ACOE to determine all the places on Ed-Data that we link to CDE? If a search can be done that looks for patterns within the URL, it would probably cover most items if we look for cde.ca.gov with wild cards at the front and back.

This is not an immediate issue, but we need to keep it on the back burner as something to plan for.

911 2.20 Problem with TitleI report   Dishna:

A couple of things need attention.

First, our 2004-05 district level displays are not working properly. This is because the 2005 PI datafile does not include all Title I districts like the 2006 datafile does (sorry-that's my fault for not noticing. I assumed it contained all Title I districts because the school datafile contains all Title I schools). We have to deal with PI districts in three different ways (because we have three different types of datafiles). Years prior to 2004-05 as we did in the past. 2005-06 according to our recent changes. Now, 2004-05 needs to be handled as follows (just for districts).

If the district is in the datafile, then it is in PI (and pi_place indicates level).
If the district is not in the datafile, then it is not in PI (and level is N/A).

Again, the logic for schools appears to be working just fine.

Second issue is a matter of consistency. Prior to 2004-05 we put either "Yes" or "No" in the table to indicate whether the Title I school or district is in PI. In 2004-05 and 2005-06, we are putting either "In PI" or "Not in PI" in the table. To be consistent with prior years, we should use Yes" instead of "In PI" and "No" instead of "Not in PI " for the 2004-05 and 2005-06 tables.

I think that with these changes we should be ready to go.

763 3.01 Research Unreasonable EL, CalWORKs and Free/Reduced Meal Data   Creating and testing the pop-trends has brought to our attention odd-ball pieces of profile data that look incorrect. Examples include Compensatory Education percentages that are over 1,000%, Free/Reduced Price Meal percents that are zero for big districts, and CalWORKs percents that are over 500%. The sample problems come from various years and are probably caused by (1) incosistent/incorrect data being reported by districts, or (2) data for the districts in question was nonexistent when we compiled it but the districts may have since filed amended reports.

To help us investigate this, ACOE has provided a worksheet of Compensatory Education percentages that exceed a certain percentage and we'll need to do something similar to this for the other data types in question. We might also want to look for percentages that are zero if a district is over a certain size.

If they don't look at our Help screen and see that they have to change their cookies, they simply think the site is not working correctly.

Bob can develop a way to track cookies and if a user has them turned off, a pop-up would prompt them to turn cookies on while using Ed-Data.

43 3.03 New District Trend Report   Another version of the comparison report has been proposed -a district comparison report that shows multiple years worth of data for the same LEA.

For a district multi-year comparison report, the current district comparison has 11 data elements, of which about 8 are available every year going back to 1992-93.

966 3.03 Elections Data Interface/Comparisons Improvements  4/1/2008 1. Create a new interface for updates for districts that have held elections.
2. Incorporate this information into financial comparison reports. In the financial comparison report, we need to figure out a way either by filter or results selection or both to include passage of local bond or parcel tax elections. It was suggested that in the results tab we only display a “Yes” or “No” with a hyperlink to the districts Bond and Parcel Tax Report.
